Participation Rules
By entering the IT Arena conference venue, you automatically confirm your full agreement with all the rules outlined below and commit to strictly following them. Compliance with these rules is a mandatory condition for participating in the event. Any violation may result in the organizers asking you to leave the venue without a ticket refund or compensation, as well as potential legal liability in accordance with applicable law.
Entry to the Conference

Participation in the conference is permitted only with a valid ticket, a personal badge, and a wristband issued during official registration.

The badge and wristband are personal identification items that confirm your right to access the event and are required for security control on the conference grounds.

It is strictly prohibited to transfer your badge or wristband to another person.

In case of loss or damage to either identification item (badge or wristband), the participant must immediately notify the organizers at the info desk or registration area.

To restore access to the conference, a replacement fee must be paid:

  • Lost badge β€” $100.
  • Lost wristband β€” $50.
Photography and Videography

Photography and video recording are allowed only in the general areas of the conference, and must always respect privacy and show consideration for other participants.

Any photography or video recording in the Defense Expo zone is strictly prohibited.

Violation of this rule is considered a serious security breach and will require the immediate deletion of any photos or videos taken.

Safety of Participants and Staff

Access control to the event venue is carried out in accordance with the current legislation of Ukraine.
Entry to the conference grounds is strictly prohibited for:

  • anyone under the influence of alcohol, drugs, or any other intoxicating substances;
  • persons suspected of using or distributing narcotic, toxic, psychotropic or other substances that affect physical or mental state;
  • suspected of committing illegal actions against other guests or staff;
  • behaving inappropriately, violating the law (e.g., hooliganism, disturbing public order) and preventing other participants from taking part in the event.
  • who refuse to be inspected by security services;
  • who have violated or refuse to comply with these General Terms and Conditions;
  • who have violated the rules of conduct in public places, as well as the current legislation of Ukraine.

It is strictly forbidden to bring, store, or use any items that may threaten the life, health, or safety of participants and staff on the conference premises.

Prohibited items include, but are not limited to:

  • Sharp or cutting objects (knives, blades, scissors, awls, axes, glass shards, and other sharp or dangerous tools).
  • Firearms, ammunition, explosives, flammable substances, and pyrotechnics (fireworks, rockets).
  • Pepper spray, tear gas, or other chemical agents.
  • Heavy or sharp objects that could be used as weapons.
  • Alcohol, narcotic, toxic, and psychotropic substances.
  • Any other items that may pose a threat to other event guests.
  • Any other items prohibited by Ukrainian law or by decision of the event organizers.

All items brought onto the conference grounds may be subject to inspection by security staff.

Failure to comply with these safety rules may result in the participant being denied access to the event venue without any ticket refund.

Emergency Situations

In the event of an emergency (such as an air raid alert, fire, technical malfunction, or other force majeure situations), participants must immediately follow the instructions of the organizers and conference staff, as well as adhere to evacuation plans and routes determined by the organizers.

Failure to comply with these requirements may pose a threat to the life and health of participants and is strictly prohibited.

Responsibility for Personal Belongings

The conference organizers are not responsible for the loss, damage, or theft of participants’ personal belongings during the event.

We strongly recommend that you keep a close eye on your belongings at all times and do not leave them unattended.

Rules for Attending the Defense Expo Zone
The Defense Expo zone is a specialized area with heightened security and confidentiality measures. Access is permitted to all attendees who have both a badge and a wristband, as well as to accredited media representatives. By entering the Defense Expo, you automatically confirm that you fully agree to all established rules and commit to strictly following them.
Access to the Zone

Access to the zone is strictly controlled by security staff. Entry is only permitted with a valid badge and wristband, and after passing mandatory security screening.

Any attempt to enter the zone without proper authorization is a violation and may result in the organizers denying entry to the Defense Expo or the immediate removal of the individual(s) from the area.

Photography and Recording Prohibited

Participants are strictly prohibited from taking photos, recording video or audio, or capturing any other information within the Defense Expo area without prior accreditation from the organizers.

Violation of this rule is considered a serious security breach and may result in the organizers denying entry to the Defense Expo or the immediate removal of the individual(s) from the area.

The organisers reserve the right to confiscate the storage device for examination of its contents, with subsequent return.

Personal Safety and Conduct

Participants are prohibited from bringing any dangerous items, including but not limited to sharp objects, firearms, explosives, pepper spray, and similar items.

Participants are not allowed to touch, move, or otherwise interact with exhibits, equipment, or technology without the direct presence and permission of a company representative responsible for the exhibit.

Any suspicious behavior, attempts at unauthorized access, or breaches of safety rules must be reported immediately to the organizers or security personnel.

Confidentiality

All participants in the Defense Expo zone are required to keep confidential any information they receive or witness while in this area.

Photography, copying, recording, or sharing of any materials, documents, technologies, personal data, or other confidential information β€” as well as information about participants and staff working within the Defense Expo β€” is strictly prohibited.

Any breach of confidentiality is considered a serious violation and may result in legal consequences, including criminal liability.

Security Screening and Inspection

All personal belongings and appearance of participants may be subject to thorough security checks upon entry and while inside the zone.

The organizers reserve the right to deny access or remove anyone who violates safety rules or raises concerns about compliance with the established regulations.

Compliance with these rules is a mandatory condition for participating in the Defense Expo. Violation of the rules may result in immediate removal from the event without a refund and legal liability in accordance with applicable laws.
